Collaborate with whiteboards

A Hootsuite whiteboard is your all-in-one hub for content planning. With all your ideas, notes, and drafts in one place, you and your team members can engage in real-time ideation and feedback. From initial brainstorming to publishing your social posts, a whiteboard makes content planning simple and collaborative.

Create a whiteboard

The number of whiteboards available to you depends on the type of plan you have with Hootsuite.

• Standard, Professional, and Team plans: You can create up to two whiteboards.
• Business and Enterprise plans: You can create an unlimited amount of whiteboards.

Add, edit, or delete columns

When you create a new whiteboard, Hootsuite adds three columns by default. You and your team members can add or delete columns in your whiteboard, and edit existing columns.

Add a column

1. Select Add new column.
2. Enter a name for the column, and then select Save.

Edit or delete a column

1. Choose the column you want to delete, and then select Column actions.
2. To change the name of the column, select Rename column, enter a new name and then press ENTER.
3. To delete the column, select Delete column, and then select Delete to confirm your choice.

Note: Deleting a column removes all its notes and ideas. If a column contains any posts (drafts, scheduled, or published), they are removed from the whiteboard but remain in the content calendar.

Add team members to your whiteboard

Add team members to your whiteboard so you can collaborate and share feedback in real-time. Hootsuite sends an email to your team members to let them know you've shared the whiteboard with them.

Add a team member

Any whiteboard member can add other team members to the whiteboard.

1. Select to open a list of members in your organization.
   
2. In the Add team member pane, select the checkbox beside one or more team members in the list, and then select Save.

Remove a team member

Only the owner of the whiteboard can remove team members.

1. Select to open the Add team member pane.
2. Find the team member you want to remove in the list, and clear the checkbox beside their name.
3. Select Save.

Add notes and ideas to your whiteboard

Capture ideas in your whiteboard using notes. Notes can include text and media, and you and your team members can add comments to individual notes as you collaborate.

Tip: Notes and ideas are attached to individual columns, but you can drag them from one column to another at any time.

Create a note

1. Choose a column on your whiteboard, select Add, and then select Add note.
2. Enter a title and description for your note.
3. (Optional) Select Upload media to add media to your note. You can add up to 20 files (JPEG, PNG, PDF, or video).
4. (Optional) Select the default color for the note and choose a different color from the list.
   
5. Select Save.

Tip: You can drag a note from one column to another at any time.

Generate ideas for your whiteboard with Wisdom

Use Wisdom to come up with ideas and send them directly to your whiteboard. Learn more about OwlyGPT.

Ideas appear as notes in your whiteboard with an Idea label. Once you've sent them to your whiteboard you can edit, add comments, or delete it, just like any other note. Depending on the format of your output, Wisdom may send it as multiple ideas.

1. Go to OwlyGPT.
2. Enter your prompt in the OwlyGPT chat window, and then select Send message .
3. Refine your prompt and repeat step 2 until you're satisfied with the output.
4. Select Add to Whiteboard.
   
5. Select a whiteboard from the list, or enter a new name to create a new whiteboard.
6. Select a column in the whiteboard where you want to add your OwlyGPT ideas.
7. Select Add.
8. Select Open whiteboard to view the post in your whiteboard.
   

Add comments to a note or idea

Use comments to collaborate with team members on your notes. You can mention specific team members to make sure they don't miss out on the internal conversation.

Note: You can only mention team members who have been added to the whiteboard.

1. Choose a note in your whiteboard and select View internal comments.
   
2. On the Internal comments tab, enter your comment. Your message can include up to 500 characters.
   • Select Add media to attach a file (image, video, text, or PDF), or drag a file into the message window from your computer. You can attach up to nine files to each comment.
   • Select Add an emoji to include an emoji reaction in your comment.
3. If you want to make sure a member of your team sees the comment, type the "@" symbol and select a teammate from the list. If they have notifications enabled for internal comments, they'll get an email about your comment.
4. Select Save to add your comment to the note.

Edit a note or idea

1. On your whiteboard, select the note or idea you want to edit.
2. In the details pane, make your changes, and then select Save.

Delete a note or idea

1. On your whiteboard, select the note or idea you want to delete.
2. In the details pane, select Delete.
3. Select Delete to confirm your choice.

Turn a note or idea into a post

You can use a note or an idea from OwlyGPT in your whiteboard to create a post.

1. Select a note or idea in your whiteboard.
2. In the details pane, select Create post.
   
3. Select your social accounts, make additional changes as required, and then schedule or publish your post.

Send a post from your content calendar to your whiteboard

You can take content you have already published or scheduled and send it to your whiteboard as a note. The post can be in draft status, scheduled, waiting for approval, or published, but it must have been created in Hootsuite.

1. Go to Plan , and then select a post from your content calendar.
2. In the post details pane, select More actions , and then select Add to whiteboard.
3. Select a whiteboard from the list, or enter a new name to create a new whiteboard.
4. Select a column in the whiteboard where you want to add the note.
5. Select Add.
6. Select Open whiteboard to view the post in your whiteboard.
