Manage campaign approvals

Ideal for agencies, campaign approvals simplify client interactions in Legacy Hootsuite Ads. With campaign approvals, you can send campaign summaries to third parties for approval before they’re are published. Main Legacy Hootsuite Ads users can rebrand the request emails and landing pages that are sent to clients, or make approval mandatory before a campaign can be published by the account. See Manage collaboration settings for more information.

Note: You can send campaign approvals for campaigns created in Legacy Hootsuite Ads or in Facebook.

You can request approval for ad campaigns from one or more third parties before you publish them. Main Legacy Hootsuite Ads users can make campaign approval mandatory. Approvers cannot make changes to the campaign, they can only approve or reject it.

Note: To request approval for a campaign created in Facebook, the campaign must be published and then paused in Facebook Ads Manager. When the campaign is approved, it will be published and start running automatically.

Single approvals – You can send the request email can be sent to more than one recipient, but only one person can approve the campaign. Once a campaign is approved, the link is no longer be valid for other recipients to view the campaign summary. You can also send single approval requests with a direct link.

Multi-step approvals – You can request approval from multiple people, but the second approver doesn't receive an approval request until the first approver has approved the campaign. Likewise, a third approver does not get an approval request until the second approver has approved the campaign, and so on. The campaign is published once the last approver in the flow has approved the campaign. If mandatory campaign approval is enabled and a default reviewer is specified, the multi-step approval option is be disabled.

Send an approval request for an ad campaign

  1. On the Publish page of campaign creation, select Request Approval.
  2. Select Proceed to Request Approval to confirm your choice.
  3. Enter a message for your approver(s).
  4. Select Single Approval or Multi-Step Approval.
  5. Select which campaign elements to send for approval (Budget, Creative and/or Targeting).
  6. Enter the approver's email address.
  7. Multi-step approvals: Select Add review step to enter additional reviewers' emails and select the campaign elements they can view.
  8. Single approvals: Instead of sending the request by email, you can select Share the request via custom link, and then select Get the link to share the link another way. If the parent user of your account has enabled a default reviewer, you may not see this step.
  9. Select Send email request.

Important: Once a campaign is sent for approval, you can no longer edit it.

Send an approval request for a Facebook Ads Manager campaign

  1. On the Legacy Hootsuite Ads home page, select Collaboration, and then select the Campaign Approvals tab.
  2. Under Campaigns created in Facebook, select the first field to select an ad account, and then select the second field to search for the campaign.
  3. With a campaign selected, select Request Approval.

  4. Enter a message to be sent with the approval request.
  5. Select Single Approval or Multi-Step Approval.
  6. Select which campaign elements to send for approval (Budget, Creative and/or Targeting).
  7. Enter the recipient's email address.
  8. Multi-step approvals: Select Add review step to enter additional reviewers' emails and select the campaign elements they can view.
  9. Single approvals: Instead of sending the request by email, you can select Share the request via custom link, and then select Get the link to share the link another way. If the main user of your Legacy Hootsuite Ads account has enabled a default reviewer, you may not see this step.
  10. Select Send email request.

Approve or reject a campaign

The following instructions describe the steps required for your client to complete a campaign approval request.

Approvers must open, view, and take action on approval requests (through a direct link or email sent from Legacy Hootsuite Ads) from a desktop computer. Campaign approvals are not supported on mobile devices.

Note: The interactive ad previews in the approval request expire after 24 hours, and approval links expire after one month.
  1. Open the approval request email (or select the direct link) and select Review Campaign Now.
  2. Enter your name and email address, and then select Review Campaign.
  3. Review the campaign summary.
  4. To approve the campaign, select Approve and Publish. Legacy Hootsuite Ads sends the campaign to Facebook immediately for review and publishing.
  5. To reject the campaign, select Reject, then enter a comment for the requester explaining the reason for rejection, and then select Reject campaign.

The requester receives an email confirming that the approval request is complete, and whether the campaign is approved and published, or rejected. The status of the campaign is also updated in the Collaboration Hub.

Manage approval requests

Approval requests can have a status of pending, approved, or rejected. You can also view when a request was last updated, which email addresses have been sent pending requests, or have rejected requests, and which step a campaign is on in a multi-step approval flow.

  1. On the Legacy Hootsuite Ads home page, select Collaboration, and then select the Campaign Approvals tab.
  2. Select Actions on any pending campaign to:
    • Resend the approval email
    • Get the approval link (for single approval requests)
    • Override the approval request and publish the campaign (not available if mandatory approvals are enabled for the account)
    • Delete the request

    Rejected campaigns are saved as drafts so you can edit and send them again for approval. Select Show message on a rejected campaign to see the note from the approver, then select the campaign name to open the campaign in edit mode.

    Resending a rejected campaign for approval creates a second approval request. The original rejected request remains in your approval requests list.
