Manage your content library
You can use content libraries to store pre-approved media assets (post templates and images) for your organization. Assets make it easy for team members to publish content that's relevant and on-brand. Organizations can have many libraries and share specific assets with selected teams.
You can control the use of an asset in a library by setting its availability and expiration date. You can also add tags to organize assets and make them easy to find, or add internal notes to let team members know when and how to use them. You can store an unlimited number of assets in a Hootsuite content library.
Plans: This feature is restricted to certain plan types. If you don't see this feature, visit the Hootsuite plans page to see if it is included in your plan.
About library permissions
Organization Super Admins and Admins, can manage all content libraries. Team Admins and members with the custom team permission Manage content libraries can manage the libraries available to their team. See Custom team permissions to learn more.
Members with these roles can create and share content libraries and add or edit content in the library. All other organization members can use content from the libraries available to their organization or teams. To find out more about permissions, see Overview of organizations and permissions.
Create, edit, or delete a library
You can create multiple content libraries, delete libraries, and change the name of a library and the teams that have access to it at any time.
Create a library
- Go to Plan
, and then select Content.
- Select the Content library tab.
- Select Create library
.
- Enter a library name, select one or more teams from the list to share access, and then select Create library.
Edit or delete a library
- Go to Plan
, and then select Content.
- Select the Content library tab, and then select a library from the list
.
- Select Manage library
.
- Do one of the following:
- Edit the library - Change the library name or the teams that can access the library, and then select Save changes.
- Delete the library - Select Delete library to remove the content library, and then select Delete to confirm your choice. If you delete a library, it is removed for all team members.
Add media assets to a library
Libraries can contain individual images and post templates. You can upload images directly to a library and create post templates for team members to use. Post templates must include at least some text, and can contain social accounts, links, videos, images, tags, and scheduling information.
Note: You cannot save shortened links to library templates. Hootsuite saves the full link. Apply shorteners or link presets when you create the post.
The maximum file size for uploaded images is 10MB. You cannot upload video files to a library, but you can attach and save them in a template.

Upload an image to a library
- Go to Plan
, and then select Content.
- Select the Content library tab, and then select a library from the list
.
- Select Upload, and then upload your image(s).
- Optionally, select Continue to add metadata to add more information to the media asset.
- Add tags, notes for team members, set availability for the asset, and then select Save changes.
Edit or delete media assets
You can edit or delete a content asset from a library at any time. Edit assets to change image names, add internal notes about an asset's intended use, and manage tags or availability.
- Go to Plan
, and then select Content.
- Select the Content library tab, and then select a library from the list
.
- Choose an asset in the library, and then select Show options
.
- To edit the asset's metadata, select View details, and then select Edit asset details
. Make your changes and then select Save changes.
- To delete the asset, select Delete asset, and then select Delete to confirm your choice.
- To edit the asset's metadata, select View details, and then select Edit asset details
Important: Deleting an asset from the library does not delete it from any scheduled posts, or prevent it from being published if it is already scheduled.
Manage asset tags
Organize your library assets with tags so you can group relevant content for easier access. Tagging assets lets you filter by tag for quick access to relevant content. Tags are specific to the library they are created in.
Add asset tags to a media asset
- Go to Plan
, and then select Content.
- Select the Content library tab, and then select a library from the list
.
- Select one or more media assets, and then select Add asset tags.
- Select one or more tags from the list. If you want to create a new tag, enter a name in the Search field, and then select Create a tag.
- When you have finished selecting or creating your tags, select Add tags.
Delete a tag from a media asset
- Go to Plan
, and then select Content.
- Select the Content library tab, and then select a library from the list
.
- Choose an asset in the library, and then select Show options
.
- Select View details, and then select Edit asset details
.
- In the Asset tags section, select the X on the tag you want to delete, and then select Save changes.
Delete a tag from all assets
- Go to Plan
, and then select Content.
- Select the Content library tab, and then select a library from the list
.
- Select one or more media assets, and then select Add asset tags.
- Select Manage tags.
- Select the X on the tag to delete it from the list. This deletes the tag from the library and from all assets previously associated with that tag.
Set availability for media assets
You can set availability and expiration dates on library assets to control their use. Set time frames when you add or edit assets in a library. You can also pause assets with time frames to immediately make them unavailable.
All team members can view time frame restrictions on assets. Each media asset has a badge that indicates their availability (for example, Available soon, Paused, Expired). The time frames respect the time zone of the admin who created the asset. When an asset is unavailable, it is not visible to team members.
Hootsuite does not publish posts that contain expired or paused assets. You can only schedule assets for publication during their availability time frame. If a scheduled post contains an asset that is later paused or given an expiration date, Hootsuite will not publish the post.
Important: Deleting an asset from the library does not delete it from any scheduled posts, or prevent it from being published if it is already scheduled.
Set the time frame for an asset
- Go to Plan
, and then select Content.
- Select the Content library tab, and then select a library from the list
.
- Select an asset, and then select Set availability.
- Choose one of the following options:
- Select Available immediately, it won't expire to make the asset available without restriction.
- Select Paused to make the asset unavailable.
- Select Custom time frame to set specific start and end dates during which the asset can be used.
- Select Set availability.
Filter assets by availability, media type, or tags
You can filter the assets in your content library based on asset availability, media type, or by tags applied to them, so you can locate the right assets more quickly.
- Go to Plan
, and then select Content.
- Select the Content library tab, and then select a library from the list
.
- Select Filter, and then select a filter type.
- Select one of more filter criteria, and then select Apply. Repeat for additional filter types you want to add.
Create a template in the content library
You can create and store templates in your library for team members to use. Post templates must include at least some text, and can contain social accounts, links, videos, images, tags, and scheduling information.
- Go to Plan
, and then select Content.
- Select the Content library tab, and then select a library from the list
.
- Select the Templates tab, and then select Create template.
- Add all of your post elements, and keep the following in mind:
- Hootsuite saves full links, not shortened ones, with library templates. Apply shorteners or link presets when you create the post. .
- You cannot save content customized for each social network to a library. Library templates contain the same content in each social network tab.
- To add and save image alt text in your library template, select an X/Twitter, Facebook, or LinkedIn Page account, point to your image, and select ALT.
- Optionally, select Continue to add metadata to add more information to the template.
- Add tags, notes for team members, set availability for the template, and then select Create template.
