Manage your content library

  

Business and Enterprise organizations can use content libraries to store pre-approved post templates and images for publishing on social. Organizations can have many libraries, to share specific content with selected teams. There is no limit to the amount of content that you can store within a library.

Organize content libraries with content tags to make it easy for team members to find relevant assets. You can also control the use of specific content by setting availability and expiry dates on each asset. Internal notes also let team members know when and how assets should be used.

Content library permissions

Organization super admins and admins can manage all content libraries, and team admins can manage the libraries available to their team; they can create and share content libraries and add or edit content in the library. All other organization members can use content from the libraries available to their teams.

To give a team member permissions to manage a team’s content libraries without making them a team admin, customize their permissions for that team.

Customize permissions

  1. Select your profile picture (Profile icon by default) in the bottom left of the dashboard, and then select Social networks and teams.
  2. Under the organization name, select Teams.
  3. On the Permissions tab, select the permissions drop-down menu for a member, and then select Custom.
  4. Select the Manage Content Library and Assets box, and then select Save.

Create, edit, or delete a content library

The name of a content library, and the teams that have access to it, can be changed at any time.
Deleting removes a content library from all team members’ dashboards.

Create a content library

  1. Select Publisher Publisher icon from the launch menu.
  2. Select the Content tab along the top of the calendar.
  3. Under Content Sources, select Content Library.
  4. The first time you create a library, select Create Content Library, or select the library menu Down arrow icon at the top of the page, and then select New Library...
  5. Enter a Library Name, select Add Team to select a team or teams to share access to the library, and then select Create.

Edit your content library

  1. Select the library menu Down arrow icon at the top of the page, and then select Edit Library.

  2. Edit the Library Name or teams that can access the library, and then select Save Changes.

Delete a content library

  1. Select a content library from the library drop-down menu Down arrow icon.
  2. Select the menu again, and then select Edit Library.
  3. Select Remove.
  4. Select OK.

Add content library assets

Content libraries can contain individual images and post templates. Images are uploaded directly to a content library. Templates are drafted in the Composer or compose box and then saved to a library as a template. They must include at least some text, and they can be complete with social networks, links, videos, images, tags, and scheduling. 

Note that shortened links cannot be saved to content library templates. The full link is saved, and shorteners or link presets must be applied in the Composer.

The maximum file size for uploaded images is 10MB. Video files cannot be uploaded directly to a content library, but they can be attached and saved in a template.

Upload an image to a content library

  1. Within Content Library in the Content tab of Publisher planner-icon.png, select a library from the drop-down menu Down arrow icon at the top of the page.
  2. Select Upload.
  3. Select choose files to upload, select an image, and then select Open.
  4. Optional: Select Add info to files to add tags to the asset, or set a timeframe for its use, and then select Save. For more information, see Add asset tags and notes below.

Create a template

  1. Select Create New Post create new post icon in the top left of the dashboard to open the Composer.
  2. If you belong to more than one organization, ensure that the correct one is selected from the drop-down in the top left.

  3. Add all the elements of the post to your template.
    Note that shortened links cannot be saved to content library templates. The full link is saved, and shorteners or link presets must be applied when the template is published.
  4. Select the drop-down arrow next to Post Now, and then select Save to Content Library.

  5. Select a content library to save the template to, add any internal notes or tags, set a timeframe for its use, and then select Add new asset.

Edit or delete assets

  1. Select Publisher Publisher icon from the launch menu.
  2. Select the Content tab along the top of the calendar.
  3. Under Content Sources, select Content Library.
  4. Within Content Library, select a library from the drop-down menu Down arrow icon at the top of the page.
  5. Over an asset, hover your mouse over the More menu More options icon, and then select Edit.
  6. Edit the content or properties of the post template, and then select Save Changes.

Delete an asset

  1. Within Content Library, select a library from the drop-down menu Down arrow icon at the top of the page.
  2. Over an asset, hover your mouse over the More menu More options icon, and then select Delete.
  3. To delete multiple assets, hold the SHIFT key and select the assets you want to delete. Select the More menu at the top of the library, and then select Delete.

  4. Select OK.

Important: Deleting an asset from the content library does not delete it from any scheduled posts, or prevent it from being published if it is already scheduled.

Add asset tags and notes

Organize your content library assets with tags and internal notes. Tagging lets you filter by tag for quick access to relevant content. Tags are specific to the library they are created in. Add internal notes to individual assets regarding their intended use.

Add asset tags

  1. Hold the SHIFT key and select one or more assets to add a tag to.
  2. Select the More menu More options icon at the top of the library.
  3. Select Add Tags.
  4. Enter tags, and then select Save.

Delete a tag from a single asset

  1. Hover your mouse over the More menu More options icon of an asset, and then select Tag.
  2. Hover your mouse over the tag so it turns red, and then click to delete it from that asset.
  3. Select Save.

Delete a tag from all assets

  1. Hover your mouse over the More menu More options icon of an asset, and then select Tag.
  2. Select Manage Tag List.
  3. Select the X beside a tag to delete it from the list. This deletes the tag from the library and all assets tagged with that tag.

Filter assets by tag

Enter one or more tags in the Filter by tag field at the top of the library. Select More More options icon in the filter text field to change the default search from "all of these tags" to "any of these tags."

Add or edit internal notes

  1. Select a content library from the drop-down menu Down arrow icon at the top of the page.
  2. Hover your mouse over the More menu More options icon of an asset, and then select Edit.
  3. Add or edit the note, and then select Save Changes.

Set timeframes for assets

You can set availability and/or expiry dates on content library assets to control their use. Set timeframes when adding assets to a content library, or by editing them later. Assets with timeframes can also be paused to immediately halt access to them. Unpausing restores the asset's previous availability timeframe.

Timeframe restrictions are visible within the content library to all team members. The times respect the time zone of the admin who created the asset. When an asset is unavailable, it is visible or accessible to team members for publishing.

Posts containing currently expired or paused assets will not publish, and assets must be scheduled to publish during their availability timeframe. If a scheduled post contains an asset that is later paused or given an expiry date, the post will fail to send at its scheduled time.

Important: Deleting an asset from the content library does not delete it from any scheduled posts, or prevent it from being published if it is already scheduled.

  1. Hover your mouse over the More menu More options icon of an asset, and then select Edit.
  2. Select Set a time frame, and then select an Available and/or an Expiry date for the asset.
  3. Select Save Changes.

  1. Hold the SHIFT key and select one or more assets.
  2. Select the More menu More options icon at the top of the library, and then select Set Asset Availability.
  3. Select Set a time frame, and then select an Available and/or an Expiry date for the asset.
  4. Select Set for # assets.

Pause an asset

  1. Hover your mouse over the More menu More options icon of an asset, and then select Edit.
  2. Select Pause availability.
  3. Select Save Changes.

Select Set a time frame to unpause the asset and restore its original availability settings.
