Create .csv Files and Schedule in Bulk

Comma separated value (.csv) files are used to upload and schedule multiple messages at the same time (bulk scheduling). .csv files can be created with Google Docs, TextEdit or TextWrangler.

350 messages can be bulk scheduled per social network. Already scheduled messages in your dashboard will be included in the 350. For example, if there are 100 messages already scheduled to one social network, 250 more can be bulk uploaded to that social network. There is no limit to the number of messages that can be manually scheduled in addition to the 350 after bulk uploading.

important_icon_37x44.png  Programs that do not support exporting in UTF-8 (Excel) will not create files compatible with Hootsuite, as they will convert certain characters into unreadable fonts.

tip.png  Always save a copy of your bulk scheduled messages.

important_icon_37x44.png  Mac users need to have smart quotes disabled on their computers, as these cause bulk scheduling to fail. OS 10.9 and 10.10 have these turned on by default. If you bulk upload with TextEdit, smart quotes will need to be disabled there as well.

 To disable smart quotes

  1. Open the computer’s System Preferences.
  2. Click Keyboard, and then select the Text tab.
  3. Uncheck the Use smart quotes and dashes box.

 To disable smart quotes in TextEdit

  1. Open TextEdit.
  2. Click the TextEdit menu in the top-left corner of the screen, and then select Preferences.
  3. Under Options, make sure the Smart quotes and Smart dashes boxes are unchecked. 

 To create a .csv file using Google Sheets

  1. Sign in to Google, click the Apps icon Apps in the top-right corner, and then select Sheets
  2. Click Create new spreadsheet New spreadsheet icon in the bottom-right corner.
  3. Create a .csv file:
  4. In column A, enter a date and time (in 24-hour time) in the following format:
    • dd/mm/yyyy hh:mm or mm/dd/yyyy hh:mm. Use one format exclusively throughout.
    • One space between the date and time.
    • All times must be at least 10 minutes from upload time.
    • Posting times must end in 5 or 0. All other times will be rounded up to the next five-minute slot.
    • Only one message per time slot.
  5. In column B, enter your message. Duplicate messages will not publish.
  6. In column C, enter a URL (optional).

    Google

  7. Click Untitled spreadsheet in the top-left corner and enter a file name.
  8. Click File, select Download as, and then select Comma-separated values.

 To create a .csv file using TextEdit

Note: Only TextEdit 1.7 and greater can be used to create a .csv file compatible with Hootsuite.

  1. Set TextEdit to plain text:
    1. Open TextEdit.
    2. Click TextEdit in the top-left corner of the TextEdit toolbar, and then select Preferences.
    3. Under Format, select Plain text, and then click the X in the top-left corner to close Preferences.
  2. Create a .csv file:
  3. Enter a date and time (in 24-hour time) in the following format, ending with a comma:
    • dd/mm/yyyy hh:mm or mm/dd/yyyy hh:mm. Use one format exclusively throughout.
    • One space between the date and time.
    • All times must be at least 10 minutes from upload time.
    • Posting times must end in 5 or 0. All other times will be rounded up to the next five-minute slot.
    • Only one message per time slot.
  4. Enter your message, ending with a comma only if adding a URL. Duplicate messages will not publish.
  5. Optional: Enter a URL.
  6. Press ENTER to start the next message.

  7. Click File in the top-left corner of the TextEdit toolbar, and then select Save.
  8. Enter a file name, select a save location, and then click Save.
  9. Locate the saved file, rename it and add .csv to the end of the file name, and then press ENTER.
  10. Click Use .csv.

 To create a .csv file using TextWrangler

TextWrangler is a free HTML and text editor for Macs running OS X 10.6 or later.

  1. Open TextWrangler.
  2. Create a .csv file:
  3. Enter a date and time (in 24-hour time) in the following format, ending with a comma:
    • dd/mm/yyyy hh:mm or mm/dd/yyyy hh:mm. Use one format exclusively throughout.
    • One space between the date and time.
    • All times must be at least 10 minutes from upload time.
    • Posting times must end in 5 or 0. All other times will be rounded up to the next five-minute slot.
    • Only one message per time slot.
  4. Enter your message, ending with a comma only if adding a URL. Duplicate messages will not publish.
  5. Optional: Enter a URL.
  6. Press ENTER to start the next message.

     

  7. Click File in the top-left corner of the TextWrangler toolbar, and then select Save As
  8. Enter a file name, select a save location, and then click Save
  9. Locate the saved file, rename it and add .csv to the end of the file name, then press ENTER
  10. Click Use .csv.

 To schedule in bulk

  1. Select Publisher Publisher icon from the launch menu.
  2. Under Content Sources, click Bulk Message Upload.
  3. Click Choose File, select a bulk schedule file, and then click Open.
  4. Select the date format that was used in the .csv file.
  5. Select the social network(s) to publish the messages, and then click Submit.
