Add publishing security with Proofpoint

  

Proofpoint (formerly Nexgate) is an additional software that works in conjunction with your Hootsuite Enterprise account to add an automated layer of social media compliance security to your organization’s post publishing. Especially for businesses in regulated industries, this integration provides a level of confidence that your team is publishing posts that are on-brand, and that follow the necessary social media policies.

Proofpoint can be connected to some or all of your organization’s social accounts, and set up with patrols to flag posts based on selected policies. Enable Proofpoint to pass posts from you and your contributors through a third-party pre-screening before they are published, to analyze your posts after they are published, or both.

Manage Proofpoint in Hootsuite

The super admin of your Hootsuite organization can connect it to your Proofpoint account. To enable Proofpoint pre-screening of your Hootsuite posts, this also needs to be enabled under each social account in the organization.

All posts rejected by, or waiting for approval, through Proofpoint will appear under Rejected in the Publisher  section of Hootsuite. Rejected posts can be edited or deleted. Posts waiting approval will display a red Unapproved banner.

Pre-screening needs to be enabled and disabled in each social account individually.

Important: When scheduling posts that will require Proofpoint pre-screening, leave enough time for the approval process. If Proofpoint and/or your organization’s compliance officer approves the post after the selected scheduled time, the post will not publish and will be moved into the Expired Approvals folder in Publisher .

Connect your Hootsuite organization to Proofpoint

  1. In your Proofpoint account settings, under External Apps, locate your Access Key from Proofpoint.
  2. In the Hootsuite dashboard, go to My profile , and then select Social networks and teams.
  3. Select the gear icon  beside the organization name, and then select Settings.

  4. Select Connect with Nexgate.
  5. Enter your Proofpoint Email Address and Access Key, and then select Submit Token.
  6. Select Save Changes.

Disconnect your Hootsuite organization from Proofpoint

  1. Go to My profile , and then select Social networks and teams.
  2. Select the gear icon  beside the organization name, and then select Settings.

  3. Select Disconnect Nexgate.

Enable or disable post pre-screening

  1. Go to My profile , and then select Social networks and teams.

  2. Select Social Networks under the organization name.

  3. Select a social account from the list on the left, and then select the Profile Settings tab.
  4. Select or deselect Make messages require pre-review. If this box does not appear, you either do not have the appropriate social account permissions or the social account has not been connected in Proofpoint.

When the box is selected, all posts published to the social account will be pre-screened based on the policies set up in Proofpoint before they can be approved and published.

When the box is not selected, posts published to the social account will publish right away, and Proofpoint will analyze the post after it is sent.

Important: Pre-screening needs to be enabled and disabled on each social account individually.
