Export an Analytics report

You can export or schedule exports of your overview and custom reports, and of your Post Performance view. Export reports as needed or set up a recurring email export.

Export options by plan type

Different plans offer different options for exporting reports.

  • Hootsuite Pro (pre-2016), Professional - Export overview reports to PDF and PPT.
  • Team - Export overview reports and custom reports to PDF and PPT.
  • Hootsuite Pro (pre-2016) with Reports add-on - Export overview reports and custom reports to CSV, XLSX, PDF, and PPT.
  • Business, Enterprise - Export overview reports and custom reports to CSV, XLSX, PDF, PPT. Can also export Post performance reports to PDF, CSV, and XLSX.
  • Enterprise with Team Admin permissions - Export Team performance view to PDF.

Export a report

  1. Go to Analytics, and then open a report (check out Open an Analytics report).
  2. Select Change date range to choose a time frame for the report.
  3. Select Export , and then select an export option. Stay on the reports page until the report begins to download.

Note: Once they are ready to download, we’ll send your report exports to your email address. To download the report in Hootsuite, stay on the reports page and wait to see the on-screen message with the download link. Select Download report to download your report.

What to expect from your export

  • You can export date range comparisons using Export. Although you can select another export format, doing so will only export the first time frame.
  • XLSX exports generate one workbook containing a separate worksheet for each metric type.
  • CSV exports generate a ZIP file containing separate CSV files for each metric type.
  • You cannot export Posts and Inbound messages metrics that are compared by Topics.
  • Exports of team metrics tables (First responses, Overall responses, and Resolved assignments) include all responses and assignments.
  • While table visualizations only display the latest 100 posts, the export includes a complete list of posts (with a maximum of 1000 posts for Amplify metrics, and 10,000 posts for all others), post IDs, and all metrics.
  • Line, Area, and Column visualizations export daily values.
  • Geo maps and Pie visualizations export the top three values, with the remaining values aggregated as ‘other.’
  • List visualizations export values for each item in the list.
  • XSLX and CSV exports of List visualizations include dedicated worksheets (for XSLX exports) and CSV files (for CSV exports) for each List tile. You can export a maximum of 20,000 breakdowns. If this limit is exceeded, we'll display 19,999 breakdowns, and add the rest as "Other".
  • Numbers export the numeric value.
  • Gauges export the numeric value for the first time period.
  • You can't export Tables, Top posts, and Word cloud in PPTX format. In PDF format, tables display an image of the tile. In XLSX and CSV formats, Tables and Top posts are exported into a separate worksheet.
  • Only tables exported to PDF retain a custom sort order. You can sort the data in Excel, or use the Post performance view to retain a custom sort order.
  • You cannot export Word maps displaying Topics metrics to XLSX or CSV formats. In PPTX formats, Word maps are exported as lists. Export to PDF to retain your Word map visualization.
  • You can export Heatmap visualizations only as PDF. You cannot export these as PPTX, CSV, or XLSX.

Export the Post performance view

Plans: Professional, Team, Business, Enterprise, and Hootsuite Pro with Reports upgrade

  1. In Analytics , select Post performance.
  2. Configure the Post performance view (select accounts, columns, and a date range).
  3. Select Export, and then select an export option. Stay on the reports page until the report begins to download.

Note: Once they are ready to download, we’ll send your report exports to your email address. To download the report in Hootsuite, stay on the reports page and wait to see the on-screen message with the download link. Select Download report to download your report.

Export the Team performance view

Plans: Enterprise with Team Admin permissions

  1. In Analytics , select Team performance.
  2. Configure your Team performance view (select social accounts, teams, members, and a date range).
  3. Select Export, and then select Adobe PDF (.pdf). Stay on the reports page until the report begins to download.

Note: Once they are ready to download, we’ll send your report exports to your email address. To download the report in Hootsuite, stay on the reports page and wait to see the on-screen message with the download link. Select Download report to download your report.

Schedule an email export

Send reports to your email automatically by setting up a schedule. Team, Business, and Enterprise plan customers can also schedule reports to be sent to other members in the same Hootsuite organization. Enterprise plan customers can also send reports to external emails on a schedule.

Select from the following two export delivery schedules:

  • Weekly every Tuesday
  • Monthly every second day of the month.

We schedule all exports for 10am GMT. You can set up several scheduled exports in a variety of formats. For example, one recipient can be set up to receive essential report information every week, while another recipient, like an executive, can be set up to receive one report per month.

Note: The scheduled reports option is not available for Post performance view reports.

Schedule an email export:

  1. In Analytics, open the report.
  2. Select a date range or select two dates to compare, and then select Set.
  3. Select Export, and then select New scheduled export.

  4. Select an export format and frequency, then enter the names or emails of your recipients. For added security, you can send the report as a password-protected ZIP file. Find out more about export options by plan type.
  5. Select Schedule.

Report recipients can unsubscribe from receiving reports directly from the report email.

View, edit, or delete a scheduled export

In Analytics, select Export to view a list of your scheduled exports. Select a scheduled export to view the details, edit the schedule, add or remove recipients, change the format type, or cancel (delete) it.

Important: Your scheduled exports are automatically deleted and you will stop receiving email exports when you:
* Are removed from the list of shared users for that report.
* Are removed from an organization.
* Downgrade to a Free plan.
* Delete your Hootsuite account.
